Abstract
The rapid advancement of digital transformation (DX) is reshaping educational institutions, where faculty and staff are required to fulfill diverse roles such as course design, teaching material development, student guidance, administrative management, and external collaboration. In this context, generative AI technologies such as ChatGPT and Gemini have emerged as promising tools to enhance both efficiency and quality in educational practices. This paper presents the “Faculty and Staff Education Meeting on Generative AI” conducted at Hokkaido University of Science and its affiliated high school, detailing the process from planning and implementation to evaluation and outcome dissemination. A particular focus is placed on the development of a knowledge-sharing website that systematically consolidated insights generated during the program, enabling sustainable reuse and institutional learning. The novelty of this work lies in framing a reusable model for institutional knowledge sharing that bridges generative AI applications with educational management practices. The proposed framework contributes to establishing sustainable mechanisms for integrating AI into educational ecosystems and offers a transferable approach adaptable to other institutions.
